Recruit Manager

The following overview is based on the front and backend management that the site user and site administrator will enjoy.

(NB: The following is the system standard and will be tailored to the specific client requirement)


.: Recruit Manager - Front End User Area

Site users will enter the website and have the ability to search for jobs via a dynamic search facility which would be structured as follows:

  • Job Category Search
  • Salary
  • Location
  • Keyword

Once the user has specified their search criteria they will be directed through to the search results page where they will be shown the jobs that match their search criteria. They will be shown the basic information for each of the jobs and will have the ability to click on the job of interest to view the full details. Once this is done the user will be taken through to the Job Details page where all information held within the database for the job will be displayed on screen.

From this point users will have the ability to return to the search results page, this would be used if the job details are not quite what they were looking for, or select the apply link which will enable the user to complete the application form online and once complete enables the user to upload their CV. In addition they are required to specify a username and password which ensures that if the user returns and wishes to apply for another job they simply enter the username and password which enables the system to recognize who they are and will pre-fill all the required fields, the user still has the ability to change their details at this point if required.

Once the application has been sent the user will receive an email thanking them for their application and the email will confirm their application reference number, this can be used when they wish to get an update from the company.

Email to a colleague
Once the user is on the Job Details page the user also has the ability to email the job information to a colleague, they are required to enter their name, their colleagues name and their friends email address. The email would for example be structured as follows:

.: Recruit Manager - Backend Site Administration Area

The Recruit Manager software is designed to ensure all aspects of the management of the website are able to be handled in house by the site administrator. The private area of the website is called Site Manager and requires a username and password to gain entry.

The system is broken down to the following areas:

 .: Job Manager

Job Manager enables the site administrator to fully manage the advertisement of jobs on the website in real-time. Admin has the ability to add / remove and update job information as and when required.

The ability to assign an image (logo) to a job is also available if required.

When admin enters a job they will specify the Job Title, Job Description, Salary, Location, Permanent / Temporary, Skills Required.

(Plus Additional Fields If Required)

When a job is created admin will also specify the job category that the job is to be assigned to. Eg/ Accounts Jobs, Sales Jobs etc.

Category Management
Within the job management system is a category management facility which enables admin to create and manage the job categories that jobs are assigned to.

Image Management
Regarding image management for jobs (logos), to ensure ease of use the system gives admin a browse option of their computer, this enables them to locate the image they require and once located they simply press the upload option which places the image directly on the server. This process ensures that FTP is not required.

Account Manager
Each job that is added to the database will be assigned to a account manager. This ensures as applications are made the relevant account handler is notified. In addition the account handlers details will be displayed with the job details for site users to view.


.: User Manager

User Manager enables site visitors to become users of the website when they wish to apply for jobs. The system requires that the user enters all their personal information along with a username and password.

From User Manager admin has the ability to browse users details in full with the ability to suspend a users access to the website.

Admin can browse through all users or search for a user by surname. Once a search is performed the system will display all users records that match the search criteria.

Once admin has selected to view a users details the system will display their personal information on screen. From this point the system will display all the applications the user has created and enable admin to click an application to view the full details.

Admin has the ability to create users, this facility would be used in the instance that admin was speaking to a candidate who wanted setting up on the users database. Once admin has created the record the user will simply have to login to the website when they wish to apply for a job.


.: Application Manager

The Application Management facility ensures that all applications for jobs are written to an applications database. When an application is made admin will receive an email confirming the application id number which enables admin to either search for the id or browse all applications and locate the relevant one.

Once admin has located an application they simply click the id number and the candidates details will be displayed on screen along with the CV (If Attached) which can be downloaded to admin computer to view or be opened directly from the screen.

The application includes the details on the job that has been applied to. As well as viewing applications by user the system caters for viewing applications by job category. This enables admin to select a specific job and the system will display all the applications made against the job.

Admin has the ability to manage applications on the basis of status, if an application is current the system will colour reference it accordingly, to ensure that at a glance admin can see applications that still need dealing with.

Once an application has been dealt with admin simply sets the status to complete which again changes the colour reference accordingly.
