Mailshot Manager

The following overview is based on the backend management that the site administrator will enjoy.

(NB: The following is the system standard and will be tailored to the specific client requirement)

.: MAILSHOT MANAGER - Backend Site Administration Area

Mailshot Manager is a fully dynamic database driven email marketing facility that enables the host website to market its products and services via email. The software is fully managed by the client and will enable more targeted email marketing campaigns to be achieved.

The Mailshot Management software will enable the website to market their products through to registered site users of the site as well as existing customers.

Prior to admin sending an email broadcast they have the ability to create their list of recipients, the options admin is presented with are (EXAMPLES ONLY):

• Level 1 Options

- Customers
- Prospects
- All

• Level 2 Options

- Select by Group

• Level 3 Options

- Location
- Product Category
- Industry

Once admin has specified their choice(s) the system will display the list of matching recipients, admin at this point may remove specific users from the list.

Once the list of recipients has been confirmed admin will proceed through to the ‘Create your email’ page where they have the ability to:

Newsletter Emails
Input the text information they wish to include within the email, admin has the ability to manage the text within the email. The system is supplied with a full word suite to enable admin to manage the text within the Mailshot. The functionality includes the ability to manage:

- Colour Usage
- Font Usage (Web Fonts Only)
- Create Links
- Bold / Italic / Underline
- Bullet Pointing and general formatting of text

Input the text information they wish to include within the email, admin has the ability to manage the text within the email and can change the font, colour / size of font.

Once admin has finalised their text they will be taken through to the image upload page where they will have the ability to upload the images they wish to include within the email. Admin will be given a browse option to enable them to locate an image from their computer and once complete they will simply press the upload option which will place the image into the email images directory on the server.

Product Emails
The system will accommodate for the ability to create and manage the emailing of products to clients and prospects. The system will enable admin to select the Product Datasheet and then enter the product information together with product images.

The product mailshots will include the same functionality as the above Newsletter email.

Previewing the Mailshot
Prior to admin sending the mailshot it is recommended that they preview it, admin simply presses the preview option. Once admin has selected this option admin will be shown the formatted email within the browser to enable them to check the information that is about to be sent.

If for any reason admin wishes to amend the information they simply press the back option which displays the information on screen and enables admin to make their required changes.

EMail Templates
The system caters for 2 email templates, if more are required the charge is as follows.

Online Signup Form
This facility enables site users to signup to receive emails. As the user signs up they will have the ability to specify whether they wish to receive HTML or Plain Text emails. The ability for them to specify variables such as products or areas of interest is also available, this enables admin to target emails by product area or areas of interest.

Mailshot Manager Reports Software
To enable admin to monitor the success rate of their email campaigns the software is supplied with a reports module. The software enables admin to view the click through rate from the emails sent.

Admin has the ability to view:

• Number Of Click through from emails sent
• Number of emails opened
• Name of people that have clicked through
• Bad / Returned Email Addresses
• Unsubscribed Users

Once admin has selected their report choice the software will display the results, from this point admin can choose the ‘Generate Printable Version’ which enables them to print the reports off for their records.
