Hotel Manager

The following overview is based on the front and backend management that the site user and site administrator will enjoy.

(NB: The following is the system standard and will be tailored to the specific client requirement)


.: Hotel Manager - Front End User Area

On entry to the site the user will be directed through to website homepage where the system will display for the user the latest special offers, upcoming events and general overview information and news. It is imperative that the homepage is often updated to ensure the user is being kept up to date on the latest information available.

Users who wish to make a booking will have the ability to use a fully dynamic search facility which will enable the user the user to search by:

  • Booking Date

Arrival Date
Departure Date

  • Number of Nights
  • Adults Per Room
  • Children
  • Number of Rooms

Once the user has specified their search criteria they will be directed to the search results page where the system will display the relevant matches. The user will have the ability to click a particular hotel at which point the system will display the room availability.

From this point the user will have the ability to view the details about the room or choose the ‘Booking Online’ option which will add the booking to their shopping cart.

If the user selects the Book Online option they will be directed to the Login / Register page where the user will be required to:

  • Registered Users

Registered users will simply login using their username and password, this will ensure they do not have to re-input their full information.

  • New Customers

New users of the site will be required to complete the online registration form and once the information has been entered they will have the ability to proceed.

Once the user has registered / logged into the site they will be directed to the confirmation page where they will be presented with the confirmation details for the booking, this will include:

  • Personal Details
  • Booking Information
  • Voucher Code

If the user has a voucher code they will have the ability to enter their code id at which point the system will validate the code and specify to the user the price saving and that the voucher has now been redeemed.

Once the user confirms the information is correct they will be required to press the ‘Online Payment’ button at which point the user will be directed to the secure payment servers where they will be required to enter their credit card details and once complete press the ‘transit’ button. Once pressed the system will check the card details in real-time, generally within 10 seconds the card will be approved or declined.

Based on the users card being approved they will be directed to the Thank You page where the user will be thanked for their order and the system will display the order details for the user to print.

In addition the system will automate an email to the user containing their order information.


 .: Hotel Manager - Backend Site Administration Area

The software is designed to ensure all aspects of the management of the website are able to be handled in house by the site administrator. The private area of the website is called Site Manager and requires a username and password to gain entry.

 Hotel Manager

The Hotel Manager enables the site administrator to manage all aspects of their management in real-time. Admin has the ability to Add / Remove and Update information as and when required. Admin has the ability to browse all hotels / rooms or search for a particular listing using a keyword and or a category search.

Whether a new hotel needs adding to the website, or for example a room description needs changing admin simply uses Hotel Manager to perform these requirements.

Hotel Management
Prior to creating room availability on the website admin will be required to create and enter the information about the hotel itself. Admin will be required to enter (Examples Only):

  • Description
  • Location
  • Facilities
  • Location Map
  • Local Attractions
  • Hotel Images

The images for the hotel would include pictures of the hotel itself and also the grounds, local attractions and room images. The system includes the image upload facility to ensure admin has the ability to upload and manage the images directly from their machine without the need of using an FTP client.

Once admin has entered the above information they ill then have the ability to manage the rooms within the hotel.

As admin wishes to add a room to the site they will be required to specify the following information:

  • Category

City Break
Country Break

  • Room Type

Standard
Double
Deluxe

  • Television
  • Hairdryer
  • Telephone
  • Courtesy Tray
  • Rates

Summer 2006 – 1st May to 30th September

o Autumn 2006 – 1st October to 23rd December
£60.00 per person per night (Min 2 nights)

Category Management
The category management facility enables admin to manage the different break type categories within the system, admin has the ability to add / remove and update the category types as and when required.

Image / File Management
Regarding image / file management, to ensure ease of use the system gives admin a browse option of their computer, this enables them to locate the image / file they require and once located they simply press the upload option which places the image / file directly on the server. This process caters for thumbnail and preview images as well as files and ensures FTP is not required.

Rates Management
The rates management area enables the site admin to create and manage the forthcoming rates for the hotels / rooms. Admin will be required when creating the new rates to specify:

  • Start Date
  • Finish Date
  • Rate Table
    Summer 2006 – 1st May to 30th September
    £70.00 per person per night (Min 2 Nights)

    Autumn 2006 – 1st October to 23rd December
    £60.00 per person per night (Min 2 nights)

Once admin has entered the dates the system will ensure that at 12 o’clock midnight on the specified date that the pricing changes to the new rates as specified within the system.


.: Order Manager

To ensure all orders are managed properly the system includes a full order management facility. All orders that are approved are instantly written to the orders management database and are available to browse on a monthly basis.

All orders received are given a unique order number which is confirmed to the client on their thank you email and also to the relevant hotel administrator..

As mentioned admin receives an email notifying them there has been an order, this email includes the order number for ease of location.

Once admin has entered Order Manager the system defaults the display to the current month and shows all orders received on a line format. Once admin clicks the order number the full order information is displayed including the customers details and also the order information.

On an ongoing basis the system enables admin to browse through all months the system has been trading for. The information the system gives as standard is the number of orders and the total sales within a particular month. 


.: Customer Manager

Customer manager enables all the customers of the system to be housed within their own database. This enables admin to view and review the information on the users that have shopped within the website.

From the customer detail page admin has the ability to view all the orders the client has placed with the website. The system will display the number of orders and the average and total spend per order.

Customers details are shown in a basic format and if clicked the system will display all the information held on that particular customer.
