Event Manager
The following overview is based on the front and backend management that the site user and site administrator will enjoy.
(NB: The following is the system standard and will be tailored to the specific client requirement)
.: Event Manager - Front End User Area
Site users will have the ability to search for Events by:
- Course Category
- Keyword Search
Once the user has selected their search choice they will be directed through to the events results page where the events that match their search criteria will be displayed.
The result generally shows abbreviated information for each of the events and the user will have the ability to select the more information button. If the user selects this option they will be directed through to the event detail page where the full information will be displayed for them to view.
From the event details page the user will have the ability to view the in depth information regarding the event, the costs for the booking of the event and the date(s) available.
If the user wishes to book the event they will simply press the booking link which will direct them through to the shopping cart page where the user will have the ability to specify the number of places they require and the date(s) they wish to attend.
Once the user has selected their requirement they will be directed through to the secure payment servers where they will be required to enter their credit card information and press the transmit button.
Once the transmit button has been pressed the payment servers will check the card status and either approve or decline the users card.
If the users card is approved the system will direct the user through to the thank you page and confirm their order number. In addition the user will receive a formatted email which again will confirm the order number and event information.
If the users card is declined they will be directed through to the ‘sorry’ page where they will be instructed to either attempt to place their order again or contact the admin department.
.: Event Manager - Back End Administration Area
The Event Manager software is designed to ensure all aspects of the management of the website are able to be handled in house by the site administrator. The private area of the website is called Site Manager and requires a username and password to gain entry.
The system is broken down to the following areas:

Event Manager enables the site administrator to fully manage all aspects of their online event management in real-time.
Admin has the ability to add / remove and update event information as and when required.
As admin wishes to add an event to the website they will be required to enter an event title, event description and specify the date(s) the event is available for. As admin specifies the event date(s) they will do so from a calendar popup. Once admin has specified the date(s) available they will be required to specify the cost for the event and the number of available places for each of the event dates.
The event places are dynamic based on the number sold. As places are sold the system will reduce the availability until the event is sold, once sold out the system can either remove the event or display a sold out icon and remove the option to add the event to the shopping cart.
Within the event management software is category management to enable admin to fully manage the categories of events the website wishes to sell, eg/ Corporate Events, Group Events.
.: Order Manager
To ensure all orders are managed properly the system includes a full order management facility. All orders that are approved are instantly written to the orders management database and are available to browse on a monthly basis.
All orders received are given a unique order number which is confirmed to the client on their thank you email.
As mentioned admin receives an email notifying them there has been an order, this email includes the order number for ease of location.
Once admin has entered Order Manager the system defaults the display to the current month and shows all orders received on a line format. Once admin clicks the order number the full order information is displayed including the customer details and also the order information.
Within the order screen on a per order level is shipping management, this enables admin to input the shipping information eg/ Name of carrier, consignment note number etc. This would be used when the tickets etc are sent to the customer.
It is recommended that this process is done on the day of dispatch as the system can automate an email to the customer notifying them their order has been shipped and to expect to receive it in ‘X’ days.
Once an order is set as shipped the colour status changes which enables admin at a glance to see the orders that still require fulfillment.
On an ongoing basis the system enables admin to browse through all months the system has been trading for. The information the system gives as standard is the number of orders and the total sales within a particular month.
